Turning Intercom Support Data Into a Governed, Reportable Asset

We connected our client's Intercom support data to Databricks, secured it with role-based access levels, and built custom Tableau dashboards — turning support conversations locked inside a single tool into a governed, business-wide reporting asset.

Objective

The goal of this project was to unlock the value of the client's Intercom support data by moving it out of a single-tool silo and into a governed, centralized environment — enabling secure, role-based access and custom reporting that reflected the client's actual business needs, rather than relying on Intercom's built-in, one-size-fits-all reporting.


The Challenge

Support metrics couldn't be viewed alongside the rest of the business, teams had no reliable way to build custom reports, and there was no structured way to control who could access which pieces of customer data. The result: support insights that existed but weren't usable — and no clear path to combine them with the rest of the company's data for a fuller picture of the business.


Strategy

Step 1 — Connect the data first. Before anything else, we focused on getting reliable, automated data flow out of Intercom — without a dependable pipeline, governance and reporting would only be built on shaky ground.

Step 2 — Govern before reporting. Rather than jumping straight to dashboards, we established access levels and data governance in Databricks first — ensuring sensitive customer data was protected from day one, not retrofitted after the fact.

Step 3 — Report around real business questions. Only once the data was clean, current, and properly governed did we move to building Tableau dashboards — designed around the specific metrics the client's teams actually needed, not a generic template.

The Solution

Data Integration Using Intercom's API, we extracted conversation, resolution, and customer interaction data and loaded it into Databricks — establishing a reliable, automated flow so the data stays current without manual exports.

Structured, Governed Access Once inside Databricks, we used Unity Catalog to set up role-based access levels — ensuring sensitive customer data was only visible to the people who needed it, while broader teams could still access relevant, non-sensitive metrics.

Custom Reporting in Tableau With clean, structured data now available, we connected Tableau directly to the Databricks environment and built custom dashboards tailored to the client's actual KPIs — response times, resolution rates, conversation volume trends, and customer-level support history.

The Result

One reliable source of truth for support data, accessible outside of Intercom for the first time

  • Controlled, role-based access to sensitive customer information, reducing risk while keeping teams empowered

  • Custom, business-specific dashboards in Tableau that replaced manual reporting

  • A foundation for future integration, with support data now positioned to be combined with sales, product, and financial data
